Due to continued growth, we are looking for a Sanction and Membership Coordinator in our Concord, NC, office.
This new role will oversee the administrative elements of weekly and series sanctioning and the competition membership program.
Responsibilities:
Oversee the administrative elements of the weekly and series sanctioning agreements, including and not limited to:
Prepare documents for World of Outlaws Sprint Cars, World of Outlaws Late Models, Xtreme Outlaws, DIRTcar, Summer Nationals and Modified Nationals and other assigned entities
Ensure documents are accurate; consult with Directors, Series and Sanctioning and/or internal databases as needed
Distribute agreements to relevant parties for completion; track process
Ensure agreements are returned in expected timeframes; follow up with delinquent parties
Serve as initial point of contact in cooperation with event captains
Solicit, collect and distribute Certificate of Insurances
Track event cancelations and updates; communicate to insurance company; ensure billing is correct
Record sanctioning fees; in partnership with the Accounting Department, collect owed sanction fees
Oversee the administrative elements of the mandatory competition membership program including and not limited to:
Maintain member database; partner with WRG staff members to enhance the registration process while ensuring end-user needs are met
Conduct audits of sanctioned tracks and communicate results and resolution options to promoters
Distribute member lists and reports on a regular and timely basis to internal and external stakeholders
Partner with sanctioned tracks to support and promote enrollment
Assist injured competitors through the insurance claims process; provide necessary information to the insurance company on a timely basis
Enhance and refine a comprehensive membership package including and not limited to: new member information, newsletters, discounts, promotional pieces, activities;
Ensure annual materials are designed, produced and distributed in partnership with WRG staff
Resolve basic issues with administrative elements of membership registration and/or sanctioning; address and resolve issues, complaints and questions
Prepare and distribute penalty notices; maintain penalty databases
Assist with creating and updating records in the financial database
Assist with appellate hearings
Assist WRG leadership with special events, projects or on-site event duties
Other duties as assigned
Required Skills:
At least one year of administrative and/or customer service experience required
BS/BA degree in Marketing or Sports Management preferred; high school diploma or equivalent required
Understanding of motorsports industry a plus
High sense of ownership and personal accountability required
Proven record of dependability and integrity
Strong organizational skills necessary
Good written and verbal skills
History of and willingness to work in a team environment
Able to maintain positive demeanor, even in highly stressful or demanding situations
Notes:
Based in-office at the WRG office in Concord, NC
Overnight monthly travel is 5-10% a month, if needed
Physical demands include frequent sitting, occasional walking and standing; the use of hands to grasp and feel frequently; the occasional lifting of up to 20 pounds; and may require use of close vision.
The position is based indoors although may experience occasional exposure to the elements.
In addition to a traditional work week, this position may be utilized during evening and/or weekend hours, especially during racing season.
