SUMMARY: Performs a variety of administrative and secretarial duties within the Legal Operations department.
Primarily focused on properly scanning, naming, and organizing case documents.
Maintains positive contact with clients, attorneys, and staff and observes confidentiality of client matters.
ESSENTIAL DUTIES AND RESPONSIBILITIES: 1.
Operates a computer; 2.
Scans pleadings, discovery, and other case-related documents using a document scanner.
3.
Adjusts the documents as necessary to get the cleanest scan possible.
4.
Checks scanned documents for accuracy (correct pages scanned, readable, in the correct order, and turned the correct direction).
5.
Prepares documents for scanning (removing paper-clips, staples, tape, sticky notes, or other items that may cause document not to feed correctly in the scanner or that may cover writing on the documents to be scanned).
6.
Reviews, organizes (extracts/combines/deletes), and names scanned documents into Case Management system.
7.
Names documents in the Case Management system correctly using the Company naming convention.
8.
Uploads and saves case documents into the correct file folders in the Case Management system.
9.
Prepares pleadings and other documents to be shredded by following established policies and procedures.
10.
Returns original client or court documents to attorney(s) and staff by following established policies and procedures.
11.
May be required to rotate within the Operations Department and perform tasks in the Communication division including sending faxes, drafting correspondence, and other routine tasks.
12.
May be required to rotate within the Operations Department and perform tasks in Court Filing/Calendar Management division including filing documents at the courthouse and calendaring court events on attorneys’ calendars.
13.
May be required to rotate within the Operations Department and perform tasks in Duplication including making copies, preparing hearing notebooks, preparing exhibits for court, etc.
14.
May be required to provide coverage for other departments if an employee is out sick, on vacation, or at lunch.
15.
Receives clients and visitors; maintains good public relations with clients; observes confidentiality of attorney-client relationship.
16.
Performs legal assistant duties as requested.
Performs typing, filing, photocopying, or reception relief as time permits and as requested by other attorneys, FAST Manager, or Executive Team.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED: 1.
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
2.
Ability to read, write, and comprehend simple instructions, short correspondence, and memos.
Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees.
3.
Ability to read and write in order to proof and perform minor editing (e.
g.
, punctuation, grammar, spelling) of routine law office correspondence and legal case matters.
4.
Ability to add and subtract two-digit numbers and to multiply and divide by 10's using units of American money and weight measurement, volume, and distance; maintain records and filing systems at a level normally acquired through completion of high school or equivalent.
5.
Ability to type at average speed while maintaining correct spelling, grammar, and punctuation.
6.
Ability to proofread typed material for grammatical, typographical or spelling errors.
7.
Ability to organize and prioritize numerous tasks and complete them under time constraints.
8.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Ability to deal with problems involving several concrete variables in standardized situations.
9.
Has interpersonal skills that are necessary in order to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff to provide information with ordinary courtesy and tact.
10.
Ability to maintain a high level of mental effort and strain while producing a high volume of information performing other essential duties.
11.
Valid NC driver license and reliable transportation.

Normal law office environment with little exposure to excessive noise, dust, temperature and the like.
